Privacy Policy

This policy explains what personal data Tactivo collects, why we collect it, how long we keep it and how you can get it deleted. It applies to the Tactivo mobile app, the Tactivo web app and this website.
The data controller is Tactivo Limited, 63 Carlton Road, Erith, DA8 1DX, United Kingdom. For anything on this page, write to info@tactivo.co.uk.
1. Information we collect
We collect only what the app needs to work:
- Account details. Your name, email address and password (stored only as a salted hash, never in readable form). If you sign in with Google or Apple, we receive your name and email address from them; we never receive your password.
- Coaching profile. The display name and username you choose, and anything optional you add: a photo, a short bio, a location, a phone number, coaching role, qualification and years of experience. If you answer it, how you heard about Tactivo.
- Content you create. Session plans, drills you write, ratings, saved items, and the private notes you leave after a session.
- Activity. When you open the app and when you sign in, we record the moment and which account it was. That is the whole record: no screens, no features, no device details. We use it to see whether Tactivo is being used and to keep the service running.
- Technical data. Our hosting provider records the IP address your device connects from, which is needed to serve the app and to block abuse.
Beyond that, Tactivo contains no analytics tools and no tracking of any kind. We do not record which screens you open or which features you use. We do not collect location data, contacts, health data, advertising identifiers or payment card details, we do not use your data for advertising, and there are no third-party ad networks in the app.
2. How we use your data
- To create and secure your account, and to sign you in.
- To build session plans that match your age group, team size and available time.
- To understand a session brief you type in your own words, so the app can suggest the right focuses.
- To show your library and your season coverage.
- To fix bugs, prevent abuse and improve the drill library.
- To send you service email: account verification, password resets, and, if you asked for it, one launch announcement.
Our lawful bases under UK GDPR are: performance of a contract (running the app for you), legitimate interests (security, product improvement, preventing abuse) and consent (marketing email, which you can withdraw at any time).
3. Who we share it with
We never sell your personal data. We share it only with the service providers needed to run Tactivo, each under a data-processing agreement:
- Supabase. Database, authentication and file storage, hosted in Ireland.
- Apple and Google. Only if you choose to sign in with your Apple or Google account, and for distributing the app through their stores.
- Resend. To deliver verification and password-reset emails, hosted in Ireland.
- OpenRouter. When you describe a session in your own words, that sentence is sent to OpenRouter, which runs a Google Gemini model, so we can work out which training focuses you mean. See section 4 below.
We will also disclose data where the law requires it.
4. The one thing we send to an AI service
The planner lets you describe a session in your own words, for example “midfield gets overrun”. That sentence is sent to OpenRouter, which runs a Google Gemini model, and the model’s only job is to tell us which training focuses you meant.
We send the sentence and nothing else: not your name, not your email address, not your saved sessions, and nothing that identifies your account. We do not keep the sentence afterwards. We record only how large the request was, so we can see what the service costs us.
The model never chooses your drills. Sessions are assembled on your own device from the drill library built into the app, and if the service is unavailable your session is still built from the words your phone can read on its own.
5. Where your data is stored, and for how long
Data is stored on encrypted servers in Ireland. Traffic between your device and our servers is encrypted in transit with TLS, and data is encrypted at rest.
We keep your account data for as long as your account is open. Deleting your account removes it and everything in it — your profile, photo, sessions, drills and notes — from our live systems immediately. Encrypted backups age out within 30 days. We keep only what the law requires us to, such as accounting records. There is no recovery, so export anything you want to keep first.
6. Your rights
Under UK and EU data protection law you can ask us to give you a copy of your data, correct it, delete it, restrict how we use it, or object to our using it. You can also ask us to move it to another service.
You can delete your account and all its data at any time from Settings → Delete account in the app, which takes effect immediately. You can also ask us through our account deletion page, and we will act within 30 days.
To exercise any other right, email info@tactivo.co.uk. If you are unhappy with our response you can complain to the UK Information Commissioner's Office at ico.org.uk.
7. Children
Tactivo is a professional tool for coaches. You must be at least 16 years old to create an account, and the app is not directed at children. We do not knowingly collect data from anyone under 16; if we learn that we have, we delete it. Coaches must not enter the personal details of the children they coach into Tactivo, because session plans do not require player names.
8. Cookies and analytics
This website uses no advertising or tracking cookies. The app stores a sign-in token on your own device so you stay signed in; it is not used to track you. The only usage record in the app is the app-open and sign-in record described in section 1; there is no analytics service in the app. This website loads its typeface from Google Fonts, so Google receives your IP address when a page loads, as with any file fetched from the web.
9. Changes to this policy
If we change this policy we will update the date at the top and, for anything significant, tell you in the app before the change takes effect.
